Job Description Position: Global Travel Team Coordinator -- Recruit new travelers and expand Global Travel Team program -- Guide, onboard and support traveler preparation and fundraising -- Design, plan, and coordinate team travel logistics pre, during, and post trip Travel -- Recruiting/Marketing o Source candidates using a variety of search methods to build a robust travel candidate pipeline o Create marketing content for all trips o Update website on all travel information o Create email campaigns o Collaborate with social media manager for trip content o Ensure all openings on trips are filled o Manage interns, as requested -- Traveler Preparation o Guide travelers with diverse backgrounds through international trip preparation o Provide and manage consistent communication with travelers o Design useful materials to guide travelers onboarding and experience o Design traveler application o Host traveler pre-trip meetings o Ensure team comfort and positive traveler experience o Determine cost of traveler fees by comparing pricing for hotels, flights, etc. o Design traveler fundraising site in Funraise o Oversee, troubleshoot, and encourage traveler fundraising campaigns o Create Fundraising tools to coach travelers through their campaign o Create traveler fundraising incentives -- Traveler Onboarding o Reviewing applications (accept/deny) o Ensure program fees are paid by travelers o Collect passports, visas, travel insurance, ICE contacts o Collect photo/video and social media release waivers o Ensure all travelers have all necessary documentation, vaccinations, etc. o Book flights, accommodations and on the ground logistics o Organize and order traveler t-shirts and swag -- In-Office Travel Logistics o Design internal trip planning materials and procedures o Coordinate with Watts of Love team and local partners to design detailed travel itinerary o Design trip budget o Collect and record traveler---s flights o Assign roles for each traveler in the field o Arrange all travel details - hotels, transportation, meals, local contacts, wifi o Plan, pack, and restock emergency medical supplies o Arrange trip binders with trip, staff, and traveler information for the field o Prepare, organize, and pack all necessary trip supplies o Record and organize travel plans in Excel and SharePoint o Communicate photo/video needs to photographer/videographer o Main support for all pre, post, and present travel endeavors -- In-Country Travel Logistics --- In the field o Communicate with in-country partners during travel o Ensure photography/videography of each traveler o Keep track of all expenses and payments o Ensure the team supplies are packed and bring all necessary supplies o Assist other Watts of Love team members in the field o Manage post travel expenses -- Post Travel o Debrief trip with Watts of Love staff o Oversee photos and videos are delivered to travelers timely o Gather and organize impact stories and photos from travelers o Update GTT contacts in Funraise and email lists o Send travelers individual donor lists and encourage thanking their donors o Work with Program Manager to email all GTT donors sharing the impact of the trip Job Qualifications and Requirements -- A bachelor---s degree or equivalent experience -- Ability for strategic thinking and planning. -- Solid organizational abilities -- Unwavering commitment to quality programs -- Strong written and oral communication skills -- Strong commitment to Watts of Love Core Values and Zotheka.
