Job Description:
SupportPro provides national after-market services across the US
on secondary packaging production lines for strategic OEM partners,
end customers and distributors. The Field Service Administrator
provides analysis, administration and general support to our field
service business to ensure efficient operations for the benefit of
our customers and SupportPro. The Field Service Administrator will
be responsible for billing of orders, monitoring of field service
technician time and expense, and managing the approval process.
The Field Service Administrator must balance customer service needs
and operational efficiencies in a positive, pro-active, detailed
and attentive manner. It is expected that the Field Service
Administrator will follow and support company procedures at all
times and require the same of others.
What You'll Be Doing:
* Completion of work orders for billing and work order approval
* Verify accurate entry of service lines
* Responsible for the Accurate and Timely billing of Service
Invoices
* Generate and Process service billing in a timely manner
* Monitor the submission of technician expenses and time to assure
customer billing is timely
* Completion of work order in ERP system for invoicing
* Completion of service jobs (Non Service and Engineering
resources)
* Completion and expense capturing of field changes
* Responsible for Expense verification
* Ensure proper documentation
* Ensure accuracy of expenses
* Ensure expenses are within policy
* Transfer billable expenses to WOLI
* Forward reports for manager approval
* Resolve service billing disputes with customers
* Process credit memos as needed
* Investigate and record credit memos were necessary
* Responsible for Technical Service Payroll Submission
* Time Sheet Approvals
* Review Technical Service time submitted for accuracy
* Adjust Technical Service time as required.
* Work closely with accounting to resolve any technician
reimbursement issues/invoicing issues
* Assure timely submission of time and expenses
* Responsible for the review and processing of time and expenses
for all non-Technical Service personnel that are deployed in the
field on service jobs
* Maintain and update customer account information
What We're Looking For:
* 2 years' of experience in a multi-tasking administrative role
* Minimum High School Diploma
* 2 years' of billing and/or invoicing experience including working
with customers or internal business units to ensure timely and
accurate billing and invoicing
* Experience or familiarity with Salesforce, Field Service
Lightning is preferred
* Solid knowledge and experience with personal computer software
(Word, Excel, Outlook, PowerPoint etc)
* Strong analysis, attention to detail and organizational
skills
* Problem solver - Resolves difficult and/or complicated
challenges
* Teamwork - promotes cooperation and commitment within a team to
achieve goals and deliverables.
* Self-Management - Manages own time, priorities, and resources to
achieve goals
PHYSICAL REQUIREMENTS:
Frequently required to sit, stand, walk, talk or hear. Uses hands
to finger, handle, or touch objects or controls. Specific vision
abilities required by this job include close vision, distance
vision, color vision, peripheral vision, depth perception, and
ability to adjust focus.
