DepartmentHUM Staff: Jewish StudiesAbout the DepartmentThe Joyce Z. and Jacob Greenberg Center for Jewish Studies was established in 2009 as an inter-divisional center within the Divisions of Humanities and Social Sciences and the Divinity School. Its goal is to foster dialogue among various disciplines, scholars, and students involved in Jewish Studies at the University. Leveraging Chicago's theoretical and interdisciplinary academic culture, the Center aims to pose new questions and explore connections that will redefine the boundaries of Jewish Studies both within and outside the University.Job SummaryThe Assistant Director for the Joyce Z. and Jacob Greenberg Center for Jewish Studies acts as the primary operational and administrative leader of the Center, ensuring efficient and effective functioning across various areas. Key responsibilities include administration, budget/finance, and academic and student support. This role supervises one full-time Special Events Coordinator supporting Jewish Studies and CEERES.Candidates must upload a resume and cover letter via the My Experience page under the 'Resume/CV' section to be considered for this position.Responsibilities
- Understand the Center's mission, serve as the main contact, respond to inquiries, liaise with partners, and support operations.
- Handle a high volume of financial transactions, including reimbursements, payments, and invoices related to academic activities, visitors, vendors, grants, and events.
- Maintain financial records, reconcile transactions, troubleshoot issues, and stay updated on financial policies and systems.
- Manage the Center's budget and provide regular reports to the Director and Board.
- Write and submit grant proposals, and report on fund usage to granting agencies.
- Manage correspondence, organize meetings, and represent the Center in staff and registrar meetings.
- Coordinate with donors, fulfill donor requests, draft solicitation letters, and collaborate with the Development team.
- Supervise the Special Events Coordinator position.
- Oversee the Center's website, event calendar, newsletter, and outreach efforts, ensuring timely updates.
- Maintain directories and academic program information across platforms.
- Hire and supervise student workers.
- Support the Visiting Professor Program, including candidate dossier gathering, onboarding, housing, visas, and course-related logistics.
- Administer the Jewish Studies major and minor, manage course listings, student awards, and organize ceremonies.
- Coordinate course scheduling, liaise with Registrar, and seek cross-listings for Jewish Studies courses.
- Advertise courses, maintain historical course data, and manage office supplies.
- Administer program services, set priorities, conduct quality reviews, analyze budgets, and make recommendations.
- Engage with faculty, researchers, and staff for committee work and information sharing.
- Perform other related duties as needed.Minimum
QualificationsEducation: Bachelor's degree in a related field.Work
Experience: 2-5 years of relevant experience in administration or
related roles.Certifications: None required.Preferred
QualificationsEducation: Degree in business
administration.Experience: Progressive administrative
responsibilities, leadership, project management, event planning,
budget management, and higher education background.Technical
Skills: Proficiency in Mac/PC, MS Office Suite, and university
systems like Oracle, Orbit, and course management
